Automatically archive an employee

Keep a clear overview of your active employees

With automatic archiving in Officient, employees without an active contract are archived after a defined period, helping you keep records up-to-date without manual intervention.

Enabling automatic archiving

To activate automatic archiving, follow these steps:

  1. Navigate to Settings (⚙️) > Archiving.

  2. Under Archive Settings, enable Automatic Archiving.

  3. Select an archiving timeframe:

    • 2 months (default)

    • 6 months

    • 1 year

  4. Click Save changes to apply the settings.

Managing exceptions

Certain employees can be excluded from automatic archiving by adding exceptions:

  1. Go to Settings (⚙️) > Archiving.

  2. Locate Exceptions and click Add exceptions.

  3. Use the bulk selector to choose employees.

  4. Click Save to confirm.

Warnings before archiving

Employees nearing archival will be highlighted in the People module with a yellow information box:

  • Hover over the underlined number to view a complete list of employees in a tooltip.

  • If there is an employee in the list that you don't want to be archived, you can click "Manage archiving" to update the exceptions list.

When employees are going to be archived, the warning remains at 7 days if multiple employees are affected. For a single employee, the warning counts down from 7 to 1 day

After automatic archiving

Every employee that has been archived, will be shown in the notification center.
